We are seeking an individual to provide effective administrative and document support to the Street Lighting team, ensuring accurate handling of project paperwork and day‑to‑day office coordination working out of our Bridgwater depot in Somerset.
Key Responsibilities
- The role involves supporting the project team through efficient use of Workspace, managing all incoming and outgoing documentation, logging, scanning and uploading correspondence, and ensuring site paperwork is distributed correctly.
- You will assist with staff absence records, meeting room bookings, reception cover, preparing meeting rooms and general office support.
- You will provide document control assistance and cover when required, maintaining organised, accurate and compliant project records. The role also includes processing invoices, delivery notes and orders, supporting the Quantity Surveyor with cost reporting, and helping prepare invoice process sheets.
- You will assist with Street Works permitting and obtaining Utility Stats. A key part of the role is managing Street Lighting CRM and ticketing systems across Alloy, Dead Sure, Hammer Comms and internal spreadsheets — raising, printing, updating and closing tickets, logging completion data, updating POD logs, producing weekly and monthly Scouts reports, and chasing outstanding tasks with maintenance teams and DNOs.
- You will support the allocation of Scouts to the night scouter and ensure all related records are kept up to date.
About you
We’re looking for someone who is organised, proactive and confident working in a fast‑paced operational environment. You should bring:
- Previous administration experience, ideally within construction, utilities, highways, engineering or another service‑led environment.
- Strong IT skills, including MS Office (Word, Excel, Outlook) and the ability to learn project systems such as Workspace, Alloy, Dead Sure and Hammer Comms.
- Excellent attention to detail with experience handling documentation, data entry and maintaining accurate records.
- Good communication skills, both written and verbal, with the ability to work with internal teams, clients and suppliers.
- Experience managing multiple tasks such as document control, booking systems, invoicing support or ticket management.
- Ability to work independently, use initiative and respond quickly to operational needs.
- Strong organisational skills with the ability to prioritise and meet deadlines.
Desirable (not essential):
- Experience in Street Works, permitting, utilities or CRM/ticketing systems.
- Knowledge of commercial administration or supporting Quantity Surveyors.
- Document control experience within a project‑based environment.
